Before you book the hall
As soon as stall number and dates are confirmed, recce—not after the 3D is locked. Hall maps lie. Neighbouring stands overbuild. The organiser’s power drop is rarely where CAD placed it. Clogik’s exhibition tech stack assumes a stand recce first; the Recce Management System is the capture layer.
Write three numbers on the drawing: amps at the drop, clear height at the LED, and whether the interactive PC has a wired or cellular path. If any number is missing, the recce is not done. Use the same checklist in Mumbai, Delhi, Bengaluru, and Hyderabad so shows stay comparable.
Load-in access
- Dock time, vehicle height, and who is allowed to drive in
- Service-lift size versus LED crate or kiosk kit
- Overnight work rules and union or organiser labour
- Who signs the electrical form and when it must be submitted
Power, height, and network on the stand
An LED wall, sensor PC, and badge printer will not run on a single 5A socket meant for a laptop. Log circuit type, distance to the drop, 16A versus 32A, and overnight availability. If the floor only guarantees power from 08:00, overnight content tests need a generator or a written exception.
Height is the second silent killer. A 3.5 m wall in the render is useless under a 3.2 m soffit. Measure at the install point. Note hanging points, truss load, and whether projection onto the aisle is banned. Queue space is the third: if the play zone is the aisle, the hall manager will stop the game.
Hall Wi-Fi is a shared resource. Gesture walls, live dashboards, and QR check-in need a dedicated 4G/5G router with a wired fallback. Test the Welcome AI Avatar or attendance loop on the same network you will use on show day—not on office broadband.
Interactive booth wall vs spectacle catalog
Spectacle stops someone in the aisle. It is not the same job as engagement data. Headset farms and hologram boxes belong to catalog suppliers. Clogik leads with a playable interactive booth wall—gesture, touch, or camera—skinned to the brand, with a session log the agency can open while the show is live. AR/VR honesty: walls and Unity games, not headset theatre as the lead offer.
Choose format from the brief. Simple mechanic and a queue? Gesture game on LED. Need a browsable catalog? Touch wall. Need arrival theatre at an inner gate? That is registration plus a Welcome AI Avatar, not an AR headset farm. If the wall cannot hang, the recce should already document a floor kiosk running the same software.
Engagement data the brand can open Monday
The brand does not want a folder of booth photos. They want to know whether the stand worked. Log session counts, optional dwell, and lead or QR capture. Roll issues into field reporting. Decide the data contract before the show: mandatory fields, opt-in, who owns the list, and whether ops can see live counts to restaff the aisle.
Report what the software counted. If a sensor was down for two hours, say so. Invented footfall is how agencies lose the next brief. We do not invent client scale on this site or in a wrap.
When to pair the stand with event registration
Exhibition tech is the booth. Event registration is the gate. Many 3×3 m product stands need only recce, a wall, and a lead form. Pair both when the same team owns visitor flow and the booth—dealer meets, hosted conferences inside an expo, brand pavilions with a guest list.
If the organiser already badges the hall, you may only need a QR hook on the wall. If your client is the organiser, run Clogik check-in at the inner gate. Do not buy a full registration platform for a stand that only needs a gesture wall. Do not skip registration when invited dealers must be badged and counted.
Show-week sequence
- Recce closed and approved
- Software skinned and tested on the real network path
- Load-in: power, hang or floor kit, queue tape
- Soft open: one hour of play with the dashboard watched
- Show days: sessions logged, issues in field reporting
- Monday: export the brand can open, downtime included
Takeaway
Treat load-in as QA. Recce the stand, choose a playable wall over an empty catalog piece, and agree the Monday artefact before the truck rolls. That is exhibition technology for agency producers—not a hologram shopping list.
Send the hall, stand size, and dates
We will say whether recce, wall, and reporting fit—or whether you only need registration.
WhatsApp Clogik ↗Frequently asked questions
What should an agency recce on an expo stand?
Power load and drop, clear height at the LED, dock and lift, queue space, neighbour clutter, network path, and organiser electrical or NOC status before fabrication lock.
Is exhibition tech the same as event registration?
No. Exhibition tech is the booth. Registration is the gate. Pair them when one team owns both.
Do we need a hologram or headset for the stand?
Only if the brief is spectacle catalog. Clogik leads with playable walls and Unity games plus a session log.
What data should the brand see on Monday?
Session counts, optional dwell or leads, and honest downtime—not invented footfall.
When should we book exhibition tech?
As soon as stand dimensions and show dates are confirmed—before creative lock.
