Exhibitor lead capture for trade shows in India

Most expo leads die on a business card in a bag. We give exhibitors a QR form for visitors, a mobile app for stand staff that works without network, and a live dashboard, so every lead is qualified, consented and ready to call the same evening.

Scan, qualify, follow up

Visitors scan a stand QR and fill a short branded form, or stand staff capture them on a phone in a few taps. Each lead carries the questions sales actually needs (interest, timeline, city, product) and a consent line. Hot leads can trigger an instant alert to the sales team.

Built on capture we run in the field

Our mobile capture forms have logged leads at a rural tractor-van tour, an investor-awareness yatra and a tablet quiz for corporate parks, with registration and OTP flows for dealer events. The same tools work on an expo stand.

Works offline in the hall

Expo halls are notorious for weak networks. The staff app stores leads on the phone when the signal drops and syncs when it returns, so nothing is lost during the busiest hour.

Live dashboard and CRM export

Leads appear on a dashboard by day, staff member and product interest while the show is running. At the end of each day the team exports a clean sheet for the CRM or the sales team, with no retyping from cards.

Pair it with something worth stopping for

Lead capture works best when visitors have a reason to share their details. Pair it with an interactive wall, a booth game or an AI photobooth, and the form becomes part of the experience.

Exhibitor or organiser?

Exhibitors use this on their own stand. Organisers who also need visitor registration, badges and gate check-in should look at our event registration system; the two share one dashboard when run together.

What a good expo lead record holds

A useful lead is more than a name and a number. Each record should carry who captured it, when, the product the visitor asked about, how soon they plan to buy, and their consent to be contacted. With those fields filled at the stand, the sales team can sort leads into call-today, nurture and not-relevant before the show is even over.

We set the form with your sales team before the show so the questions match how they qualify leads, and keep it to a few taps so stand staff actually use it.

Setup before the show

We build the branded forms and the stand QR, add your staff to the app, and run a short training session. On the first morning we check that capture and sync work on the hall network, and stay on call during show hours. After the show you keep the export and the dashboard for follow-up reporting.

Lead capture by stand type

  • Small stands: one visitor QR on the back wall and one or two staff phones. Keep the form to name, company, number, interest and consent.
  • Mid-size stands with a demo zone: staff capture during demos, visitors self-register at the game or photobooth, and both land in one list.
  • Pavilions and multi-brand stands: each brand or product gets its own form and owner, while the pavilion lead sees the totals.

Qualifying questions that work on a busy stand

Ask only what sales will use in the follow-up call: what the visitor is looking for, how soon, which city or plant, and whether they decide or recommend. Add one free-text note for the staff member's impression. Drop-downs are faster than typing on a crowded floor, and a short form gets filled in more often than a long one.

Frequently asked questions

What is exhibitor lead capture?

Tools that let an exhibitor record visitor details and interest at the stand, through a visitor-facing QR form or a staff app, and export the leads for follow-up.

Does the lead capture app work without internet?

Yes. The staff app stores leads on the device when the hall network drops and syncs automatically when it returns.

Can we add our own qualifying questions?

Yes. Forms are set per show with your questions, such as product interest, timeline and city, plus a consent line.

How do we get the leads after the show?

Leads are on a live dashboard during the show and can be exported to a sheet or CRM the same day.

Is this the same as event registration?

No. Lead capture is for an exhibitor's stand. Visitor registration and gate check-in for organisers runs on our event registration system; both can share one dashboard.

How many staff can use the lead capture app?

As many as are on the stand. Each person logs in so leads can be tracked by staff member.

Can visitors fill the form themselves?

Yes. A stand QR opens a short branded form on the visitor's phone, so busy staff don't become a bottleneck.

Is visitor consent recorded?

Yes. Every form includes a consent line, and consent is stored with the lead.
